How to pay your virtual assistants (invoice template)

Hiring a virtual assistant and paying them is an important task to be able to grow your business.

A virtual assistant hiring template will be shared separately, but for those that already have a VA or are about to hire one, I wanted to share my process for my virtual assistants.

In short, I pay my VAs direct through WISE.

I have them invoice me once a week or once a month depending on the VA payment structure so I can keep the accounting accurate.

I give new VAs a Google Doc which outline how to create the invoice (created by my trusted VA) along with a Canva template for their use.

To make the onboarding process for new VA's so they know how to get paid, I have an SOP for them on that process.

This was incidentally put together by my VA.

Below is the Canva template of the invoice which you are welcome to use and share with your VA too.

Typically, I find my VAs on a marketplace like Upwork or FreeUp.

While they are in the marketplace, I pay through there.

But at some point, they might end up working with me directly - at which point I pay them through WISE, PayPal or WorldRemit (in that order).

I get my VAs to send me invoices for their expected payment.

Once they do, I download the invoice and pay them through WISE (usually).
